How Views Work in the Inbox

Organize your conversations with channel views, filters, folders, and more.


Overview

The Inbox in Breakcold is where all your conversations live. Views let you organize and navigate conversations by channel, status, and custom filters. Here is what you can do:

  • Browse conversations by channel (Inbox, Email, LinkedIn, WhatsApp, Telegram, etc.)
  • Filter conversations by status (Done, Archive, Trash, Scheduled, Starred)
  • Use tabs to show All, Records only, Favorites, or Groups
  • Apply filters (Unread, Important, Assigned to, Message type, Without reply)
  • Use AI-powered search to describe what you are looking for
  • Create custom folders to organize your views
  • Show or hide channel views to keep your sidebar clean

Inbox Layout & Channel Views

When you open the Inbox, you will see a left sidebar listing all your channel views and a conversation list in the center.
The sidebar contains the following default views:

  • Inbox — All incoming conversations across channels
  • Email — Email conversations only
  • LinkedIn — LinkedIn messages only
  • WhatsApp — WhatsApp conversations only
  • Done — Conversations you have marked as done
  • Archive — Archived conversations
  • Trash — Deleted conversations
  • Scheduled — Messages scheduled to be sent later
  • Starred — Conversations you have starred

  1. Click any channel view in the sidebar to filter conversations by that channel. For example, click LinkedIn to see only LinkedIn messages.

Clicking "LinkedIn" filters the conversation list to show only LinkedIn messages.

Conversation Tabs — All, Records Only, Favorites & Groups

At the top of the conversation list, you will find four tabs that further filter what you see:

  • All — Shows all conversations in the current view
  • Records only — Only shows conversations with participants that exist as records in your CRM
  • Favorites — Only shows conversations with participants you have favorited
  • Groups — Only shows group conversations that include multiple participants


The four tabs at the top let you quickly filter by conversation type — here "Records only" is selected.

Tip — Use the Records only tab to focus on conversations with people who are already tracked in your CRM, ignoring messages from unknown contacts.

Filtering Conversations

You can apply filters to narrow down your conversation list even further.

  1. Click the Filter icon at the top of the inbox to open the filter panel.
  2. Select one or more filter criteria. Available filters include:
  • Unread — Show only unread conversations
  • Important — Show conversations marked as important
  • Assigned to — Filter by team member assignment
  • Message type — Filter by type of message
  • Without reply — Show conversations you haven't replied to

  1. For the Assigned to filter, you can choose conditions like "is", "is not", "is any of", "is empty", or "is not empty", and then select specific team members.

Select one or more team members from the list, then click "Apply" to filter.

  1. Once filters are applied, you will see the filter count at the top (e.g. "4 Filters") along with a blue Save button and a Discard button.

After applying filters, click "Save" to save them as a view or "Discard" to clear them.



Note — You can also use the AI-powered filter by typing a natural language description of what you are looking for, such as "Show me people in the CRM" or "Emails that were sent last week". The AI will translate your request into the appropriate filters.

Show or Hide Channel Views

You can customize which channel views appear in your sidebar by showing or hiding them.

  1. Click the three-dot menu (…) at the top of the views sidebar.
  2. Hidden Views popup will appear, listing all views that are currently hidden from your sidebar. Click Show next to any view to add it back.


The Hidden Views popup lets you show or hide specific channel views from your sidebar.

Tip — If you don't use certain channels (like Telegram or WhatsApp), hide them to keep your sidebar clean and focused on the channels you actually use.

Create Folders to Organize Views

You can create custom folders to group your views together for better organization.

  1. Click the + button at the top of the views sidebar. A dropdown will appear with two options: New View and New Folder.

Click the "+" button to create a New View or a New Folder.

  1. Select New Folder. A dialog will appear asking you to enter a folder name.

Enter a name for your folder, then click "Create" to save it.

  1. Type your folder name and click Create. The new folder will appear in the sidebar and you can drag and drop views into it to organize them.


Note — You can also reorder views in the sidebar by dragging and dropping them to your preferred position.

Rename or Delete a Folder

  1. To rename or delete a folder, right-click on the folder name in the sidebar. A context menu will appear with Rename and Delete folder options.
  2. If you choose Delete folder, a confirmation dialog will ask you to type the folder name to confirm. Views inside the folder will be moved back to the main sidebar.

Type the folder name to confirm deletion — views inside will be moved back to the sidebar.

Warning — Deleting a folder is permanent. However, the views inside the folder are not deleted — they are moved back to the main sidebar.

Frequently Asked Questions

How do I access the Inbox?
Click Inbox in the main sidebar on the left side of the screen.
What is the difference between "All" and "Records only"?
"All" shows every conversation in the current channel view. "Records only" filters to show only conversations where participants exist as records (People, Companies, or Deals) in your CRM.
Can I use AI to search my conversations?
Yes! Click the Filter icon and use the AI search field to describe what you are looking for in natural language, such as "Show me people in the CRM" or "LinkedIn messages from last week".
How do I save a filter as a view?
After applying filters, click the blue Save button at the top of the inbox. Your filtered view will be saved for quick access later.
Can I reorder views in the sidebar?
Yes, you can drag and drop views to reorder them or move them into folders.
What happens when I delete a folder?
The folder is deleted, but all views inside it are moved back to the main sidebar. No conversations or views are lost.
How do I hide a channel I don't use?
Click the three-dot menu at the top of the views sidebar to open the Hidden Views popup, where you can show or hide specific channels.
