How to Use Meeting Insights (Post, Pre-Meeting) & Create Templates

Generate pre-meeting briefs, post-meeting summaries, and build custom AI templates to extract exactly what matters from every call.


Overview

Breakcold's Call Insight Templates let you define what information AI should extract from your meetings — before, during, or after a call. There are two types of insight:
Pre-meetingMeeting BriefRuns before a call to prepare you — pulls context from your CRM about the lead, past conversations, open topics, and more.
Post-meetingMy SummaryRuns after a recorded call — generates a structured summary, key takeaway, and action items from the transcript.
Breakcold ships with both templates ready to use. You can edit them, create new ones, and run them manually or automatically after every recording.

Finding Your Templates

All insight templates live in Settings → Meetings, at the bottom of the page under Call Insight Templates.

  1. Go to Settings → Meetings and scroll to the Call Insight Templates section.
  2. The table shows all your templates with their nametype (pre or post-meeting), number of sectionsstatus (Enabled/Disabled), and last updated date.
  3. Click Explore Templates to open the full template manager, or click directly on a template name to edit it.

Editing a Template

Each template is made up of sections — questions or prompts that tell the AI what to extract or research. The built-in Meeting Brief template is a pre-meeting insight with two sections out of the box.

  1. Click a template name to open its editor. The template type (Pre-meeting insight or Post-meeting insight) is shown as a badge in the top right corner.
  2. Each section has a question or prompt (what the AI should answer) and a Format setting — choose List for bullet-point answers or other formats as needed.
  3. Edit any existing question by clicking into it and typing. Changes are saved automatically ("ALL CHANGES SAVED" appears at the top).
  4. Click + Add Section at the bottom of the question list to add a new prompt — e.g. "What are the main pain points this lead has mentioned before?" or "What objections should I prepare for?"


The template editor — each section is a question for the AI to answer. Add, edit, or remove sections freely.

Tip — Use the Format: List option for factual lookups (past conversations, company details) and a free-text format for qualitative sections like talking points or objection handling.

Testing a Template Against a Meeting

Inside the template editor, you can run the template against a real meeting to preview the output before using it live.

  1. In the right panel of the template editor, click the Processing dropdown and select a meeting from your list.
  2. Click the blue Run Process button at the bottom right to generate the insight for that meeting.
  3. The AI output appears in the right panel — review it to confirm the template is producing the information you need. Adjust your questions and re-run if needed.

Select any meeting from the Processing dropdown and click Run Process to preview exactly what the template will generate.

Using Pre-meeting Insights on an Upcoming Call

For any upcoming or completed meeting, you can generate a pre-meeting brief directly from the meeting detail page — no need to go through Settings.

  1. Open any meeting from the Meetings list to view its detail page.
  2. Toggle Before call (top right of the meeting page) to switch to the pre-meeting view. A Before-call insight assistant panel appears on the right.
  3. In the Insights section at the bottom, click the template dropdown (defaults to Meeting Brief) and select the template you want to run. To manage or create templates, click Manage / Create insight.
  4. Breakcold runs the template automatically — you'll see "Building your before-call insight…" while it processes.
  5. The brief appears on screen with answers to each section — lead background, company context, past conversations, and any other prompts you've configured.

Tip — The Before-call insight assistant chat panel on the right lets you ask follow-up questions about the generated brief or the meeting context — e.g. "What objections has this person raised before?" or "Summarise the last email thread."

Post-meeting Insights

After a call is recorded and processed, Breakcold automatically generates post-meeting insights using the My Summary template (or any post-meeting template you've enabled). Find them on the Insights tab inside the meeting detail.

  1. Open a completed meeting from the Meetings list.
  2. Click the Insights tab on the right panel (next to Summary).
  3. The AI-generated output is organised into sections based on your post-meeting template — typically:
  • Summary — key topics and discussion points from the call
  • The Most Important Takeaway — the single biggest signal or decision from the meeting
  • Action Items — concrete next steps for both sides

The Insights tab shows the full post-meeting AI output — summary, key takeaway, and action items structured by your template.

The Summary Tab & Video Chapters

Alongside the Insights tab, every recorded meeting also has a Summary tab that provides a prose overview of the conversation and auto-generated chapter markers — clickable timestamps that jump to key moments in the recording.

  1. Open a completed meeting and click the Summary tab on the right panel.
  2. Read the prose summary on the right, or use the Chapters list to jump to specific moments — e.g. "Introduction and agenda", "Discussion on AI Notetaker", "Future plans".
  3. Click any chapter to jump the video player directly to that timestamp.

The Summary tab auto-generates named chapters for each major topic — click any to jump straight to that moment in the recording.

Note — Summary and Insights are generated by different systems. The Summary tab is an automatic overview always generated after recording. The Insights tab requires at least one post-meeting template to be enabled in Settings → Meetings.

Creating a New Template

To build a custom insight template from scratch — e.g. a sales-specific debrief or a competitor intelligence extractor — click Explore Templates in Settings → Meetings or Manage / Create insight from inside a meeting.

  1. Go to Settings → Meetings → Call Insight Templates and click Explore Templates.
  2. Click Create new template and choose the type — Pre-meeting (runs before a call) or Post-meeting (runs after a recording).
  3. Name your template and add your first section. Write a clear, specific question — the more precise the prompt, the better the AI output.
  4. Click + Add Section to add more prompts. Set the Format for each section (List, paragraph, etc.).
  5. Test the template using the Processing panel, then enable it as your default pre-meeting or default post-meeting template in the settings table.
Tip — Great pre-meeting prompts to add: "What pricing plan is this lead on or interested in?", "What objections have they raised in past calls?", "What is the status of their current deal?". Great post-meeting prompts: "What were the next steps agreed?", "Did the prospect express any objections — if so, what?", "Rate the call sentiment from 1–10."

Frequently Asked Questions

How many templates can I create?
There is no limit. Create as many pre- and post-meeting templates as you need — one per use case, team, or deal stage.
Do insights run automatically or do I trigger them manually?
Post-meeting insights run automatically if Auto generate Insights is set to Enabled in Settings → Meetings. Pre-meeting insights must be triggered manually from inside the meeting detail page.
Can I use a different template for a specific meeting?
Yes. From inside any meeting, click the template dropdown in the Insights section to select any available template — it is not locked to the default.
What data does the pre-meeting brief pull from?
It draws from your Breakcold CRM — People records, Company records, linked conversations (email, LinkedIn, WhatsApp), deal stage, and meeting history with that contact.
Can I edit the output of a generated insight?
The generated output is read-only, but you can re-run the template with an updated prompt and the new result replaces the previous one.
