Meeting Settings (Recording Mode, Auto-create Participants & More)

Configure recording mode, auto-create participants, AI insights, video layout, and call insight templates — all in one place.


Overview

Breakcold's Meeting Settings page gives you workspace-level control over how meetings are recorded, how participants are handled, and how AI processes your call recordings. Find it under Settings → Meetings.

Settings → Meetings — the single page for all workspace-level meeting configuration.

Recording Mode

The Recording Mode setting controls when Breakcold's meeting bot automatically joins and records your calls. This is a workspace-wide default that applies to all calendar-synced meetings.

  1. Go to Settings → Meetings and find the Recording mode row at the top.
  2. Click the dropdown to choose when recordings trigger automatically:
  • External meetings only — the bot records calls where at least one participant is outside your organisation. Best for sales teams who want to capture every prospect call.
  • Internal meetings only — records only meetings between team members. Useful for coaching, training, or internal review purposes.
  • All meetings — records every synced calendar event regardless of who is attending.
  • None — disables automatic recording. The bot will not join any meeting automatically; you can still record manually.


Choose the recording mode that matches your team's workflow — External meetings only is the most common choice for sales teams.

Tip — External meetings only is the recommended setting for most sales teams. It captures every prospect and customer call automatically without recording internal stand-ups or team syncs.

Auto-create Records from Participants

When this toggle is Enabled, Breakcold automatically creates People records for any participant found in a synced calendar event — as long as your meeting account (Google Calendar / Outlook) is connected. This means new contacts from your calls land in Breakcold without any manual data entry.

Make sure your calendar account is linked in Settings → Meetings — the auto-create feature only works when a meeting account is connected.

Note — Only new participants are created as records. If the person already exists as a contact in Breakcold, their existing record is linked to the meeting instead.

Auto generate Insights

The Auto generate Insights setting determines whether Breakcold automatically runs your Call Insight Templates after every recorded or fetched meeting. Insight templates use AI to extract structured information — action items, objections, sentiment, next steps — directly from call transcripts.

  1. Find the Auto generate Insights row and click its dropdown.
  2. Choose Enabled to run your insight templates automatically after every call. Choose Disabled if you prefer to trigger insights manually per recording.

Set to Enabled to have AI insights generated automatically after every call — or Disabled to run them on demand and save tokens.

Note — Auto generating insights consumes tokens for every meeting processed. If you have a high volume of meetings, consider setting this to Disabled and generating insights manually only for the calls that matter most.

Video Layout

The Video Layout setting controls the default camera view that Breakcold's bot records your meetings in. Choose the layout that works best for how your team reviews call recordings.
Speaker viewHighlights the active speaker — the camera focuses on whoever is talking. Best for one-on-one sales calls.
Gallery viewShows all participants in a grid layout simultaneously. Useful for multi-stakeholder calls.
Gallery view +2Gallery grid with expanded participant tiles. Ideal for larger group calls.
Audio onlyRecords audio without any video. Smaller file sizes, faster processing — good if video is not needed.

  1. In the Video layout section, click the option you want to set as your workspace default.
  2. The selected layout is highlighted. A "Video layout updated" confirmation appears at the bottom right — the change is saved instantly.

Click any layout option to set it as the default — the change saves immediately with a confirmation toast.

Tip — Speaker view is the default and works best for most sales calls. Switch to Audio only if you primarily use transcripts and summaries rather than watching the video replay.

Call Insight Templates

At the bottom of the Meeting Settings page, the Call Insight Templates section links you to your workspace's AI extraction templates. These templates define what information Breakcold pulls from your call transcripts — such as objections raised, next steps agreed, key topics, or deal signals.
Click Explore Templates to view, edit, or create templates. Your workspace shows how many templates are currently configured (e.g. "You have 2 Templates").

Note — Call Insight Templates work hand-in-hand with the Auto generate Insights setting. Make sure at least one template is configured before enabling auto-generation — otherwise there is nothing to run after recordings.

Frequently Asked Questions

Where do I find Meeting Settings?
Go to Settings → Meetings in the left sidebar. You need to be a workspace admin to change these settings.
Will the bot join every meeting on my calendar?
Only meetings that match your Recording Mode setting. If set to External meetings only, the bot will only join calls with external participants. Internal calendar events (all company email domains) are skipped.
Does Auto-create records work for all calendar providers?
Yes — it works with both Google Calendar and Microsoft Outlook, as long as the account is connected in Settings → Meetings.
Can I disable insights for specific meetings even if Auto generate is enabled?
Yes. You can manually skip or delete insights on individual meeting records after the fact, even if global auto-generation is on.
Can each team member have a different recording mode?
No — Recording Mode is a workspace-wide setting. It applies to all connected meeting accounts across the team.
