How Roles & Permissions Work at the Workspace Level?
Control who can do what in your workspace with four distinct roles.
Overview
Breakcold uses a role-based permission system to control what each team member can do within a workspace. There are four roles available at the workspace level, ranging from full administrative control to read-only access:
- Admin — Full control over the workspace
- Manager — Content creation and management
- Member — Basic create and edit access
- Viewer — Read-only access
Accessing the Members Page
- In the left sidebar, click Members under the Workspace section.
- The Members page shows all Team Members in the workspace, their email, and their current role. You can also add new members by clicking the Add Member button.
The Members page lists all workspace members with their roles — click "Add Member" to invite someone.

The Four Workspace Roles
Each role has a specific set of permissions. The Role Permissions section at the bottom of the Members page explains exactly what each role can do:

Manager | Read/write, create and delete content, export data, manage lists and views, create workspaces |
Member | Create and edit records, views, and tags. Cannot delete content or manage members |

Changing a Member's Role
- On the Members page, find the member whose role you want to change.
- Click the role dropdown next to their name. A menu will appear showing all four roles with a brief description of each.
Click the role dropdown to switch between Admin, Manager, Member, and Viewer.
- Select the new role. The change takes effect immediately.
Breakcold prevents you from changing your own role — another Admin must do it.
Inherited Access from the Organization
Breakcold has two levels of membership: Organization and Workspace.
Organization owners and admins automatically inherit access to every workspace. Even if they are not explicitly added to a workspace, they may appear in the members list. When a user has roles at both the organization and workspace level, the highest role takes priority.
Organization-Level Roles vs. Workspace-Level Roles
Roles exist at two levels in Breakcold. It is important to understand how they interact:
- Organization-level roles are managed in the Organization Settings page (sidebar > Organization). These roles control access across all workspaces in the organization.
- Workspace-level roles are managed in the Members page inside each workspace. These roles control access within that specific workspace.
The Organization Settings page manages organization-level members and roles separately from workspace roles.

Organization-level roles can also be changed via a dropdown — plus a Pending Invitations section shows outstanding invites.
Tip — Think of it as: the organization controls who is part of your company, while the workspace controls who can access a specific project or team space.Frequently Asked Questions
How do I access workspace member settings?
Click Members in the left sidebar under the Workspace section.
What are the four workspace roles?

Can I change my own role?
No. You cannot change your own role. Another Admin or the workspace Owner must change it for you.

Can a Member delete content?
No. Members can create and edit records, views, and tags, but they cannot delete content or manage members. Use the Manager role if you need delete access.
