How Roles and Permissions Work for Email & Social Accounts?

Control who can access your connected accounts and what they can do with them.


Overview

When you connect email or social accounts (LinkedIn, Telegram, WhatsApp) to Breakcold, you can share them with your team and control exactly what each member is allowed to do. This is managed through the Sharing section of each account's settings, where you assign granular Member Permissions.

  • Choose whether to share an account with your team or keep it private
  • Set read permissions — who can see messages
  • Set write permissions — who can reply and compose messages
  • Configure usage limits for social accounts (LinkedIn)

Accessing Your Connected Accounts

  1. In the left sidebar, click Accounts under the Workspace section.
  2. The Accounts page shows two main sections: Email & Calendar Syncing (your email accounts) and Social Channels (LinkedIn, Telegram, WhatsApp).

  1. Scroll down to see the Connected Accounts table, which lists all accounts connected to your workspace with their channel type, owner, and connection status.

Opening Account Details

  1. Click View details on any account card (or Manage for the email account) to open its Account Details page.

The Account Details page includes several sections:

  • Account — Shows who connected the account and lets you add a description
  • Connection — Connection status with a Reconnect button
  • Inbox Sync — Controls how far back messages are synced
  • Sync Options — Toggle Emails and Calendar syncing
  • Advanced Email Ingestion Filters — Rules to control which emails are ingested
  • Sharing — Control who can access and use this account
  • Email Signature — Set up your outgoing email signature
  • Usage Limits — Rate limits for social accounts
  • Danger Zone — Remove the account

Sharing an Account with Your Team

  1. Scroll down to the Sharing section on the Account Details page.
  2. Toggle Share with team to ON to allow other workspace members to use this account.
  3. Once enabled, a Member Permissions panel appears listing every workspace member. For each member, you can configure individual read and write permissions.

Toggle "Share with team" to reveal per-member permission controls.


Note — When "Share with team" is OFF, only the account owner can access the account. No other team members will see its messages or be able to send from it.

Understanding Member Permissions

Each team member gets four individual permission checkboxes, organized into read and write categories:
Read permissions (left column):

  • Read all messages — The member can see all messages in this account
  • Read recent messages — The member can only see recent messages

Write permissions (right column):

  • Reply to all messages — The member can reply to any conversation in this account
  • Write record messages — The member can compose and send new messages to records

Each member has individual checkboxes for read (left) and write (right) permissions.

  1. Check or uncheck the permissions for each team member as needed.
  2. Click the Save Changes button at the top to apply your permission changes.
Tip — For a team member who only needs to monitor conversations but not respond, enable only the read permissions and leave the write permissions unchecked.Warning — Be careful when granting "Reply to all messages" and "Write record messages" permissions. Members with these permissions can send messages from your account, which will appear to come from you.

Frequently Asked Questions

How do I access account sharing settings?
Go to Workspace > Accounts, click "View details" or "Manage" on any account, then scroll down to the "Sharing" section.
What happens when "Share with team" is turned off?
Only the account owner can access the account. No other workspace members will see its messages or be able to send from it.
Can I give a team member read-only access?
Yes. Enable only the read permissions (Read all messages / Read recent messages) and leave the write permissions unchecked.
What is the difference between "Read all messages" and "Read recent messages"?
"Read all messages" gives full access to the entire message history. "Read recent messages" limits visibility to only recent conversations.
Can a team member send messages from my account?
Only if you grant them write permissions ("Reply to all messages" or "Write record messages"). Messages they send will appear to come from your account.
What are Usage Limits?
Usage Limits are daily rate limits for social accounts (like LinkedIn) that control how many actions can be performed per day. They protect your account from being flagged or restricted by the platform.
Do I need to click Save after changing permissions?
Yes. After modifying any permissions, click the Save Changes button at the top of the page to apply your changes.
