How to Connect My Email Account??

Connect your Google, Outlook, or IMAP email account to send and receive messages directly from Breakcold.


Overview

Connecting your email account lets you send and receive emails directly from Breakcold. You can also sync your calendar for scheduling and reminders. Breakcold supports three email providers:

  • Google (Gmail, Google Workspace)
  • Outlook (Microsoft 365, Outlook.com)
  • IMAP (any other email provider)

Step 1 — Choose Your Provider

  1. In the left sidebar, click Accounts under the Workspace section.
  2. In the Email & Calendar Syncing section, you will see the message "No email account connected." Click on your email provider: GoogleOutlook, or IMAP.

Choose your email provider — Google, Outlook, or IMAP — to get started.

Step 2 — History Import

After selecting your provider, the History Import dialog appears.

  1. Choose how much message history to import using the dropdown. You can select to import recent history or choose "Don't import history" if you want to start fresh.
  2. Click Next to continue.

Step 3 — Sync Options

Next, choose what to sync from your email account.


  1. Select which features to enable:
  • Emails — Sync your email messages to view and send from Breakcold
  • Calendar — Sync your calendar events for scheduling and reminders
  1. Check both options if you want full email and calendar integration. Click Next to continue.

Enable Emails and Calendar syncing — both are recommended for full integration.

Step 4 — Sharing Settings

Choose whether this email account is private or shared with your team.

  1. Select one of two options:
  • No, this is a private account — Only you can access this account. You can optionally share it later.
  • Yes, this is a shared account — Allows other workspace members to use this account.
  1. Click Connect to proceed to authentication.

Choose whether to keep the account private or share it with your team — you can always change this later.


Tip — You can always change the sharing settings later from the account's detail page. Start with a private account if you are unsure.

Step 5 — Authenticate with Your Provider

You will be redirected to your email provider's authentication page.
For Google accounts:

  1. Select the Google account you want to connect from the account chooser.

Select the Google account you want to connect to Breakcold.

  1. Review the permissions Breakcold is requesting and click Allow to grant access. Breakcold needs these permissions to read, compose, and send emails on your behalf, as well as sync your calendar.

Review the permissions and click "Allow" to connect your Google account.

Note — Breakcold requests permissions to read, compose, and send emails, as well as view and manage your calendar. These permissions are necessary for the CRM to sync your inbox and calendar correctly.

Email Connected!

After authentication, you are redirected back to Breakcold. Your email account now appears in the Email & Calendar Syncing section with a Connected status.
Your email is now connected — Emails and Calendar toggles are active.

Account Details & Settings

After connecting, click Manage on your email account to access detailed settings:
The account details page lets you manage connection, sync, description, and more.
The account detail page includes:

  • Account — Who connected the account, with a description field
  • Connection — Current status with a Reconnect button if needed
  • Inbox Sync — Shows sync status and lets you control how far back to sync. Includes a Force Resync option
  • Sync Options — Toggle Emails and Calendar on or off
  • Advanced Email Ingestion Filters — Control which emails are ingested
  • Sharing — Share with team and set member permissions
  • Email Signature — Set up your outgoing email signature
  • Usage Limits — View rate limits for the account

Advanced Email Ingestion Filters

To keep your inbox clean, you can enable Advanced Email Ingestion Filters to control which emails are imported into Breakcold.

  1. Check Enable advanced filters to activate filtering.
  2. Configure the filters:
  • Excluded keywords — Emails containing these keywords will not be imported
  • Excluded folders — Emails in these folders/categories are skipped (e.g. CATEGORY_FORUMS, CATEGORY_PERSONAL, CATEGORY_PROMOTIONS, CATEGORY_SOCIAL)
  • Excluded senders — Emails from specific senders or domains are blocked


Configure filters to exclude unwanted emails — by keyword, folder/category, or sender.

  1. Use the Removal preview to see how many emails would be removed with your current filters before saving. Click Save changes to apply.
Tip — Excluding promotional and social email categories keeps your Breakcold inbox focused on real conversations. The default excluded folders (Forums, Personal, Promotions, Social) are a great starting point.

Frequently Asked Questions

Which email providers are supported?
Google (Gmail, Google Workspace), Outlook (Microsoft 365, Outlook.com), and IMAP (any other provider).
Can I connect multiple email accounts?
Yes. Each user can have one email account per channel. You can add additional accounts from the Accounts page.
Should I import email history?
It depends on your use case. Importing history brings in past conversations so they are visible in Breakcold. If you want a clean start, choose "Don't import history".
Can I sync my calendar as well?
Yes. During setup, check the Calendar option to sync your calendar events for scheduling and reminders.
Can I share my email account with my team?
Yes. You can choose to share during setup or change it later from the Sharing section in the account details. You can set granular read/write permissions per team member.
What are the email ingestion filters for?
They let you exclude unwanted emails from being imported into Breakcold — by keyword, folder/category, or sender. This keeps your inbox focused on relevant conversations.
How do I reconnect if my email gets disconnected?
Go to the account details page and click the Reconnect button in the Connection section. You can also click Force Resync to re-sync your inbox.
Can I change the sharing settings later?
Yes. You can switch between private and shared at any time from the Sharing section in the account details page.
